Top Tips For Better Time Management In The Workplace

A lot of people think that they have a lot of time in their hands so they go on doing things according to what they see is fit, but at the end of the day, they realize that they have run out of time and there is nothing they can do to salvage things. You always hear this being said over and over again: “Too much to do, too little time”, and you wonder how it could be because everybody gets twenty-fours in a day and if others can be highly productive given this amount of time, why can’t you?

As difficult as it may be to hear, you and I are masters at letting valuable moments slip through our fingers and disappearing forever.

There are still going to be plenty of days where you just don’t know what went wrong. You seemed extremely busy and yet you got very little accomplished. On days like that, you might want to review all the things you remember that might have stolen your time. Were you on the phone a lot? Did you get caught up in a conversation with a friend? Surf the Internet? Read all the funny emails you got during the day? Follow these tips to clear up your time:

Make sure you have a clean and tidy desk: It has been proven that one of the biggest business time wasters is a desk that has less than 80% of its surface area free from clutter. If you maintain a clear and clutter free desk, you will maintain your productivity at its maximum.

Tackle the task you dislike the most first: Putting this task to the bottom of your to-do list will lead to a lot of wasted time fretting about it. If you get this task out of the way as quickly as possible you will feel such relief that the other tasks on your list will be a breeze.

Have an agenda for each meeting: Make sure that you have a clear list of everything to be discussed at every meeting and that every attendee gets that agenda ahead of time. During the meeting make sure that you keep from becoming sidetracked so that you waste the minimum amount of time.

Try to reduce the number of meetings you attend to the absolute minimum: Excessive meetings can be the biggest business time wasters. Try to only attend essential meetings to avoid this drain on your time and energy.

Prioritize your tasks: Next, decide which task on your list is most important then the next important, and so on.

Time Management: Trying to do too much is a juggling act that will end in failure sooner or later. It may seem as if all the myriad of things that can get done are just about doable if only you work hard enough, but this is a false sense of security. More things always crop up. Too many things on the go will create a massive overhead of time spent at the beginning of each separate task getting back into the swing of doing it. Manage your time more effectively by cutting back to the core things that you need to take care of. Identify the things in your business that are bringing in the money and tackle them with the highest priority. The other things can get a lower priority. Cut back on extras and concentrate on your core business. A mission statement can be extremely useful for redefining a lost focus. Take action to achieve that mission statement.

Stick to the plan: No matter what happens, you have to try to stick to the plan. Plans are there because they have been calculated exactly so that you do not run out of time and do not have to rush on anything. Make sure to stick to the plan because you will find that everything will be so much easier if you are following something, rather than when you are going aimlessly.

Make Time For Some Solitude: There are so many benefits that you can get with just spending a several minutes or an hour by yourself. It may be a guilty pleasure at first when you are so used to giving so much of your time to others, but do think: If you have given them all that you are without replenishing what you can be, how can you be so sure that you are giving them your best when you’re only half-full?

On The Job: Once you get to your work station, spend at least 10 minutes organizing your desk. Set up a goal on what you need to get done for the day. Generate a list of what needs to be done and put a time limit on each project. Make that time limit realistic. If you say you need to finish writing 3 reports in 3 hours yet each need to have 2,000 words to make it complete, you have just totally destroyed your time table.

Time is gold: Yes, every second counts and you have to always keep this in mind. Every moment that passes is time that is wasted if you are not doing anything worthwhile. You cannot turn back time and if you understand how important time really is, you will realize that you should not throw it away just like that.

Switch tasks when you get stumped and cannot come up with the right solution to a problem: This makes your mind relax and stop concentrating on the problem. Somehow the mind, however, continues to work on the problem. When you go back to the problem, relaxed and refreshed, the mind jumps back in and the solution is usually revealed. Putting off a decision sometimes is the best path if you are not sure you do not have the right solution.

See if you can make routine tasks automatic: Do you have letters that need to be sent many times to clients? Do you have questions that are asked over and over again? Are there special situations that are resolved in the same way many times? Try to think through your business and the time being spent and put a series of autoresponder messages together that you can send when necessary. This will free you up tremendously for time to spend on tasks that are more creative and challenging.

Stress Relief at Work: Sometimes when a person has many tasks to complete it is quite easy to forget some of them. Times like this are what make a schedule so helpful. When you write down each task you need to complete and when it is due you can easily look back over the list to see what needs to be done and in what order. In the beginning you should keep your lists small. Five items or less should be the limit but make them the five most important things that need to be done. Once you complete a list make another of the next five most important things and work from there. Starting out small like this often gives people a better sense that they are in control of how things are progressing

Signs That You Need Time Management Training: Day in, day out, you always have to do some overtime work at your station but still feel like there’s still a lot to be done. Project requests, paper works, staff meetings, all seem to be cluttered and disorganized that you don’t know which one would start on what date and what should be finished on this date. At home there is still some laundry to be done, dinner plates still unwashed or dishes still left in the dish washer. What’s worse, you don’t have the energy to do all of them, or the time for you have brought your work home with you. You are so stressed out, you snap and snarl at anyone who interrupts your work time and you don’t have enough energy to simply enjoy the company of your family.

Always doing something without stopping can cause wear and tear even on the most sophisticated machine. If machines need to rest, why not you? You certainly need to have some time to soothe that frayed up nerves of yours or risk having a major burnout – or a nervous breakdown. Always being exposed lives you sensitive and highly reactive to minute changes that you cannot control. Alone time helps you channel your energy to refresh yourself and give you the strength to face whatever life throws at you the best way possible.

A million things can take you away from getting things done during your day. Just notice them, then find ways to keep them from happening again. They’ll become easier to recognize as time goes on.

There is no such thing as having too little time, especially if you know how to use time well. Time management has led many people to the acme of their dreams and it could take you to yours. Remember these suggestions and soon time management becomes a much simpler process, and projects become a more fluid and enjoyable thing to work with.
